Healthcare and Aesthetics
The consultation request that arrives while the front desk is already full.
Med spas, injectors, dental practices, and wellness clinics lose new patients in a narrow window: the minutes between a question and a response. We build the website, the booking path, and the coverage that closes that window, without ever touching clinical decisions.
Plan My Practice SystemShould a med spa or clinic use AI to handle new patient calls?
Yes, for the parts that do not require clinical judgment. Answering general questions about services and pricing, booking consultations, and sending reminders can all run without staff involvement. Anything touching symptoms, medications, or treatment history should route to a person immediately, and any system worth installing is configured to do that by default rather than as an afterthought.
What the front desk actually deals with
- The front desk is checking a patient in, answering a question about aftercare, and the phone is ringing with a consultation request all at once.
- A prospective patient texts a question about a treatment at 8 PM and books with whichever practice answers first.
- New patient forms ask for more than a general inquiry needs, so people abandon them halfway through.
- Reviews accumulate slowly because asking for them depends on someone remembering to ask.
- Service menus change (a new injectable, a new package) faster than the website gets updated.
From search to booked visit
Website requirements
- Clear service and treatment pages that explain what happens without making clinical claims
- Provider and credential pages that build trust before the first call
- A booking path that gets to a consultation request in two steps or fewer
- Before-and-after or service education content structured for how patients actually search
- Fast load times on mobile, since most consultation research happens on a phone
AI front desk use cases
- Answering general questions about services, pricing ranges, and appointment types after hours
- Booking and rescheduling consultations without tying up front desk staff
- Routing anything that touches symptoms, medications, or clinical history to a staff member instead of continuing the conversation
- Sending appointment reminders and pre-visit instructions
Revenue operations use cases
- A pipeline that separates general inquiries from booked consultations from active treatment plans
- Automated follow-up for people who inquired but did not book
- Review requests sent after a completed visit, timed to when satisfaction is highest
- Reporting that shows which services and which channels actually produce booked visits
Reputation strategy
Review requests go out automatically after a visit, timed for when a patient is satisfied and still thinking about the result. New reviews get monitored so a response goes out quickly, and the profile stays current as services change. See reputation growth for how this runs across a full year.
Search and GEO strategy
Service pages are written to answer real patient questions in full, with schema markup and provider credentials structured so both search engines and AI answer tools can find and describe the practice accurately. See search visibility.
A privacy note
General web forms and chat are not designed to collect clinical detail, and the defaults we ship are built to keep it that way. This is not medical advice and this system does not offer any. If your practice needs a configuration that handles protected health information, that is scoped separately, with the appropriate agreements in place before anything is built.
Implementation process
- A short audit of current intake, scheduling, and review workflow.
- Service and provider content built around real patient search behavior.
- Booking, front desk coverage, and reminders configured and tested.
- Launch, with reporting on inquiries, bookings, and reviews from week one.

We don't publish invented outcomes for practices we haven't worked with. On a strategy call, ask what a comparable build has looked like and we'll walk through it honestly.
Common questions
Does the AI front desk collect medical information?
No. It is configured to keep clinical detail out of general intake. It answers general questions, schedules appointments, and hands off anything involving symptoms, medications, or health history to your staff.
Is this HIPAA compliant?
We do not claim HIPAA compliance, and no vendor should claim it as a blanket feature. If your practice needs to handle protected health information through these tools, that requires a separate assessment and the appropriate agreements before it is configured. The default setup is built to avoid collecting that information in the first place.
Can the system replace my front desk staff?
No. It is built to absorb overflow, the calls that would otherwise go to voicemail, and the after-hours questions, so your staff can focus on the patients in front of them rather than replacing the front desk relationship.
Will this give patients medical advice?
No. It does not diagnose, recommend treatment, or answer clinical questions. It is written to redirect those questions to a provider or staff member every time.
How fast can a med spa or clinic get this running?
Most healthcare and aesthetics builds go live in three to five weeks, depending on how many services and providers need to be represented.
Do you work with multi-location practices?
Yes. Location pages, provider routing, and reporting are all built to scale across more than one office.
